You have a client meeting recording, a customer spreadsheet, or a document that needs summarizing. An AI tool could help you get through it faster. But before you attach that file, pause and ask: What am I sharing and do I have permission to share it this way?
Responsible AI use starts with the information we provide. A routine business file may contain names, contact details, private conversations, confidential plans, or someone else’s creative work.
Before your next upload, consider these four questions.
1. What’s inside the file?
Review the contents before sharing. A meeting transcript might include a personal disclosure. A screenshot might reveal an email address or account number. Include comments, extra spreadsheet tabs, and background details in your review.
2. Am I authorized to use it this way?
Having access to information does not automatically make every use appropriate. Consider what the client, colleague, or participant agreed to and whether your proposed use fits that agreement. When permission is unclear, resolve it before uploading.
3. Does the tool need all of it?
Share only what the task requires. If you need help creating a customer follow-up template, a fictional example may work. If you need feedback on a proposal’s structure, you may be able to remove client names, pricing, and confidential details first.
4. What happens after I upload?
Check the service’s current terms, privacy information, and account settings. Look for how it handles storage, access, retention, and use of submitted content for model improvement. These practices can differ by service and plan.
Try this: Before your next AI task, prepare a version containing only the information needed. Replace identifying details, remove confidential material, and check whether the remaining context could still identify someone.
